The Resource Worksheet (Deadlines)

Here’s mission control for deadlines, to-do's, and people. It's the nerve center of the job schedule. And it lets you totally dominate deadlines. The Resource Worksheet gives you total insight — and total control — over the work that's needed, who's doing the work, and when the work is due.

Any new work should be opened as a job ticket, as it happens. A job ticket can be opened anytime after it is conceived, and certainly before the work begins. It's important to open new jobs as soon as possible, since purchase orders and time can't be tracked without a job number.

The Resource Worksheet gives you a spreadsheet view of shop’s production calendar or, in other words, the staff workload. The window lists all of the job and task deadlines (including everyone’s to-do’s) for all departments, clients, staff members, freelancers, AEs, and more.

The focus here is on deadlines — all conveniently grouped together by timeframe: overdue deadlines, then deadlines for today, tomorrow, this week, next week, and those out 30 days or more. 📍See example: job ALX-001 (website).

✳️ What exactly is a resource? Estimates can be revised and reprinted as many times as needed. Printing an estimate doesn’t affect its production or billing status. Estimates print on letterhead, and have several customizable options.

HERE'S HOW IT WORKS

• Deadlines are listed in chronological order and show the staff member assigned to the task, it’s phase, and any special instructions.
• Double-clicking on a job task lets you see it’s details, as well as update it’s deadline — or mark it finished.
• The % complete bar graph illustrates how much time is left in the task’s estimate
• Right-clicking on a deadline offers shortcuts to do see and update the job task.
• Multiple deadlines can be updated at the same by click selecting one or more job tasks.
• To-do’s can be added
• The SmartTimer can be started for the currently selected job task.
• You can show job tasks by deadline or start date
• You can show job tasks for one department, staff member, client, task, AE, biz dev exec, team, or profit center (i.e., location)
• You can filter the workload by staff member
• There's an option to show/hide to do's and/or task reviews/approvals
• You can filter the workload by staff member
• The printed report shows whatever you filter, designed to be a clipboard-report for walking about with

When the window opens it defaults to big picture — today’s deadlines, for all staff members.

⚠️ Estimate-only tasks keep off traffic reports. A job task can be used for estimating and billing only, scheduling only, or for both functions. Estimate-only tasks don’t appear on job schedules.

Change orders can be found in several ways: by account number; by organization name; by cost center; by sequence; or, by browsing through the Clients file.

When the Clients window is opened, the last-used client is displayed automatically.

You can find clients by organization name, cost center, or by sequence (i.e., the order in which clients were added). Click the previous and next buttons to browse clients sequentially. You can alternately view a client by choosing it from the Show drop-down menu.

Clients & Profits automatically tracks the various revisions to a job’s estimate. The job starts with an original estimate, which can be changed many times before it is presented to the client. But once the client sees the estimate, any changes requested by the client should be reflected in “revised” estimate.



Each official revision gets its own revision number, which is generated automatically. The revision number appears on the printed estimate to help you and your client keep track of the various versions of the job’s estimate. Once the client approves it, no more revisions are made to the estimate.

TIPS

📌 Financial statements can be printed for previous periods -- even if the period is locked -- by choosing the period from the drop-down menu.

For job costs & expenses: You’ll enter each vendor cost and out-of-pocket expense that you expect to use to do the work. Each one gets description, a cost amount, and an optional markup. The total cost is the sum of all of these entries, before the markup. The total gross expenses includes the net plus the markup.


📌 If your audit trails and journals don’t equal the financial statements, posting may have crashed during the month. Use the verify G/L account balances utility to recover the correct totals.

FAQs

💬 Can I delete a task from the Add/Edit window? No. To delete a task, close this windowFrom the Task Table window, click on a task then click the Delete toolbar button. A task can be deleted from the Task Table as long as it isn’t used on any job.

💬 Can I change the staff member's initials? Yes, the Re-number utility will change all of a staff member's time entries, job tasks, etc. automatically. If the staff member also has a vendor account (which is used for expense report reimbursements) it will be renumbered as well.
